Time Cards with Geo locate: When logging in to ThermoGRID, it will ask everyone to share location, they must click Allow.

 

Setup Company

  • Click “Administration”
  • Click “Company Settings”
  • Click “Edit”
  • Go down to “Payroll Settings” and select if overtime starts after 8 hours in a day or if it is after 40 hours in a week. Then select what day the work week begins (first day of pay roll).

Setup Users

  • Click “Administration”
  • Click “Manage Users”
  • Click on a users name and click “Edit”
  • Put in their hourly rate if they’re paid as an hourly employee or put in the minimum wage for your area if they are task based pay.

User:

  • In the top right of the screen you will see a clock. If you put your curser above the clock you will see “Daily Timekeeping” and job numbers to jobs assigned to you. If you click on the clock it will keep the display open.
  • If there are a lot of jobs in the display you must close out all the jobs that have been completed previously.
  • At the beginning of the day each employee must click “Daily Timekeeping” and they will clock out for lunch and back in after lunch and then out again at the end of the day. Daily Timekeeping is for payroll purposes and is just tracking hours worked separately from all the jobs. By doing this you will be able to see the time on jobs verses the time on the clock.
  • When arriving to a job the user will clock into the job number they are on. Once the user has completed the job and they are ready to leave the location they will then click out of that job and they can now drive to the next.

 

Adding a Punch 

  • Click “Reports”
  • Click “Timesheets”
  • You can select an employee by selecting “User” then you can Click “View Timecard” and you can put in custom dates by clicking “Custom Dates”. This allows you to pull a pay roll report for each individual.
  • Scroll to the bottom and you will be able to see the time sheet.
  • Click “Add Punch” to enter in shop time, training or anything not a job.
  • Click the numbers under “Start Location” and “End Location” to see where the individual was at when they clocked in and out of their day and for lunch.
  • Click the pencil to edit their punch in and out times if they forgot to clock in or out.
  • You are able to also email or print the report.

 

Reporting Hours for daily activity of jobs

  • Click “Reports”
  • Click “Daily Activity”
  • You can select an employee by selecting “User”. Then you can put in custom dates by clicking “Custom Dates” and “Update Results”. This allows you to pull a report for each individual and see all the jobs they were on for that period of time.
  • Scroll to the bottom and you will be able to see the activity log.
  • Click the numbers under “Start Location” and “End Location” to see where the individual was at when they clocked in and out of their jobs.

Forgetting to Clock in or Out - Deleting a Punch

Deleteting a punch... you don't. Zero it out by making the start and end times the same.

One way to know someone forgot to clock out is that you will see them still clocked in and at 11:59 pm the previous night they clocked out and back in at 12 am.

ThermoGRID will automatically do this to keep track of proper hours and pay for overtime purposes.

To fix their time and get them clocked out properly, we will need to edit the punches. One of the punches will need to be change to the proper time the other zeroed out.

To do this:

  1. Click the edit button (pencil) next to the user on the first punch that clocked out at 11:59 pm and change the 11:59 to the appropriate time and day. Then click Done.
  2. Now we can edit the one that punched in at 12 am, this one needs to zero out so click the pencil and change the out time to 12 am on the same day. You will see to the right the hours will be zero. Then Done.
GPS: When logging in to ThermoGRID, it will ask everyone to share location, they must click “Allow”.
  • Click “Calendar”
  • Click “Show Maps”
  • Here you will be able to see where all employees, suppliers, and where all the jobs are located for the day week or month. The jobs will show up as a pin the same color as the job on the calendar for a quick visual.
  • You will also be able to click “Show Maps” when dispatching as well to see where all techs and jobs are located.
